HRMS Indian Railway (hrms.indianrail.gov.in) is the digital platform Indian Railways uses to manage an employee’s records and HR services from appointment to retirement. It was developed by CRIS (Centre for Railway Information Systems) and is used across all zones and production units. Employees can view their service data, apply for leave, get e-passes and PTOs, and more, from a PC browser or the HRMS Android app.
The official portal is hrms.indianrail.gov.in/HRMS. This is the only legitimate address.

What Is HRMS Indian Railway?
HRMS is a single-window system that replaces paper-based personnel work with a digital record. Over the years Indian Railways has rolled it out module by module:
- Employee Master and e-Service Record: basic employee data and an electronic service record replacing the physical one. A PIB release in February 2020 announced the employee mobile app that lets staff view this data and request corrections.
- e-Pass and PTO: launched in August 2020 and rolled out across Indian Railways from 1 October 2020.
- Office Order and e-APAR: issued through Railway Board orders in October 2020.
- Leave Management: operational from 1 August 2023 (RBE No. 94/2023), with leave balances ported from IPAS. A leave encashment sub-module followed, with processing through HRMS from 11 December 2023.
- Settlement: alerts the service-record clerk to start retirement settlement for employees due to superannuate within six months.
HRMS Indian Railway Portal Login
- Open https://hrms.indianrail.gov.in/HRMS/ in your browser (or open the HRMS app on Android).
- Enter your HRMS ID and password.
- Complete the OTP verification if prompted. OTPs go to your registered mobile number.
- You land on your dashboard, with Employee Self Service options such as service record, leave and passes.
Retired employees use the “Retired Employee Registration” link on the login page.
Fake-site warning: A Ministry of Railways circular dated 4 August 2025 warned staff about fake websites imitating HRMS and urged password changes for anyone who may have entered credentials on them. Type the URL yourself or use a bookmark, and never log in through links received in messages.
First Time Login or Password Reset
First-time login
- Go to the HRMS login page and click “Need Help for Login?”
- Enter your 11-digit PF/Employee number (IPAS ID) and click Go.
- Your HRMS ID and registered mobile number will be displayed. Note the HRMS ID, as it is your username.
- Log in with that HRMS ID and the initial password. Older guides describe a common default password; if it does not work, follow the on-screen instructions or ask your Personnel branch, since the process has been tightened for security.
- You will be asked to set a new password. Choose a strong one and keep it private.
If your details do not appear, contact your Personnel branch dealing clerk (the Bill Section DC), as the data may not have been entered or your mobile number may not be registered.
Forgot password
- Click “Forgot Password” on the login page.
- Enter your HRMS ID.
- An OTP is sent to your registered mobile number.
- Enter the OTP and set a new password.
Change password (when you can still log in)
Log in, open the Change Password option, and enter the old and new passwords.
Login problems
- Wrong credentials: check caps lock and your HRMS ID.
- Portal down: wait a few minutes and retry, since maintenance outages happen.
- Mobile number not registered or changed: get it updated through your Personnel branch.
- Still stuck: use the helpdesk numbers or raise a service request listed on the HRMS portal.
