e-HRMS Portal: Login Guide for Central and State Government Employees, Uses and Benefits

e-HRMS Portal

e-HRMS (Electronic Human Resource Management System) is the name used for government HR portals that let employees manage service-related matters online. The best-known one is e-HRMS 2.0, the central platform run under the Department of Personnel & Training (DoPT) with NIC, at https://e-hrms.gov.in. It covers the employee’s journey from appointment to retirement: profile, leave, reimbursements, service book, APAR and other services.

Many states run their own HRMS portals (for example Odisha, Telangana, Madhya Pradesh and Karnataka). These are separate from the central portal and have their own web addresses and login methods, so always use the portal your own department or state tells you to use.

How to Login to e-HRMS for Central Government Employees

  1. Open https://e-hrms.gov.in in your browser.
  2. Click Login with Parichay (the e-Parichay option).
  3. Sign in with your name-based NIC or GOV email ID and its password. Non-NIC/GOV addresses (such as Gmail) do not work; a circular from the Central Water Commission notes that a .nic or .gov email domain is mandatory.
  4. After login you reach the e-HRMS dashboard. Go to My Profile, fill the mandatory fields and submit. Your office’s verifying authority then validates the profile.

Before you can log in, your office’s nodal officer must have onboarded you. If you cannot get in, ask your nodal officer or administration section whether your record has been created.

How to Login to e-HRMS for State Government Employees

State portals differ, so treat this as a typical flow and check your state’s official portal for specifics.

  1. Open your state’s HRMS portal from the official state government website. Do not rely on links from messages or unknown sites.
  2. Choose the employee login option (for example “Personal Login / HRMS Login” in Odisha).
  3. Enter your user ID/HRMS ID and password, plus captcha if shown. Some portals, such as Madhya Pradesh’s eHRMS, offer login with SSO, OTP or username.
  4. Enter the OTP if the portal sends one to your registered mobile or email.
  5. Update your profile and register your mobile number if the portal asks, since OTPs and notifications depend on it.

Credentials are normally issued when you join, by your department or establishment office. If you lost them, contact your department head or HR/establishment section.

General Step for e-HRMS Login Process for All Portals

  1. Find the official URL from your department’s circular or government website, and type it in yourself or use a bookmark.
  2. Keep your credentials ready: the ID, official email or employee number and the password.
  3. Select the right login type: employee, nodal officer, office admin or retired/pensioner.
  4. Enter credentials carefully, checking caps lock.
  5. Complete captcha and OTP where required.
  6. Check the dashboard and complete or verify your profile.
  7. Log out when finished, especially on shared computers.

What to Do If You Cannot Log In

  • Wrong ID or password: re-enter carefully and check caps lock and typing errors.
  • Forgot password: use “Forgot Password”. Many state portals send an OTP to your registered mobile or email. For central e-HRMS, the password belongs to your NIC/GOV email account, so reset it through that email service.
  • Not getting an OTP: check network, spam folders and whether your mobile number or email is registered, then request a resend.
  • Non-government email used: on central e-HRMS, you must use the .nic.in or .gov.in address.
  • “Not onboarded” or no record: ask your nodal officer or administration section to add or correct your details.
  • Portal slow or down: wait and retry later, try another supported browser, and clear the cache.
  • Still stuck: contact your nodal officer, the portal’s helpdesk or support email shown on the login page, or your department IT cell.

First-Time Login Tips

  • Confirm with your office that you have been onboarded before trying to log in.
  • Use the correct official email (central) or the credentials issued to you (state).
  • Change any initial or temporary password right away if the portal asks you to.
  • Make sure your mobile number and email are correct and registered.
  • Complete your profile fully and submit it for verification, as offices often track completion.
  • Keep your service book and key documents ready, since you may need to check or upload details.
  • Check data such as name, date of birth and posting, and report errors to your establishment officer or through the portal’s complaint option.

Account Locked

Many portals lock an account after repeated wrong password attempts. The number of attempts and lockout period vary, and some state portals publish none. Generally:

  1. Stop guessing. More failed attempts can extend the problem.
  2. Wait for any automatic lockout period to expire, if the portal mentions one.
  3. Use Forgot Password, which often unlocks and resets in one step.
  4. Contact your nodal officer, HR section or helpdesk if the portal needs an administrator to unlock it.
  5. For central e-HRMS, if the problem is with your NIC/GOV email account, take it to your NIC or email administrator.

Important Security Tips

  • Use only the official portal address and bookmark it. Fake sites copying official HR portals have been reported, including a 2025 Railways circular warning staff.
  • Never share your password or OTP with anyone, including colleagues or “support” callers.
  • Use a strong, unique password that you do not use on other sites, and change it regularly.
  • Avoid public Wi-Fi and shared computers for logging in; if you must, log out fully and do not save the password.
  • Do not click login links in emails, SMS or WhatsApp messages.
  • Keep your registered mobile number and email current so you can recover access.
  • If you think your credentials were exposed, change your password at once and report it to your IT cell or nodal officer.

Uses

  • Maintain and update your personal and service profile.
  • Apply for and track leave and other service requests.
  • Claim reimbursements and manage matters such as LTC, loans and advances, and tours (as available on the portal).
  • Access your digital/electronic service book.
  • Handle APAR and other appraisal processes where enabled.
  • View payslips and pay details on state portals that offer them.
  • For offices, nodal officers use the portal to onboard staff, verify profiles and process requests.

Benefits

  • Paperless administration: service records and applications are stored and processed online.
  • Transparency: employees can see their own details and status of requests.
  • Faster processing: approvals move through defined workflows.
  • One platform: central e-HRMS aims to cover the full service life from hiring to retirement.
  • Anytime access from a browser, without visiting the office.
  • Better data accuracy through employee entry plus official verification.
